An award-winning, international architectural firm based in central London require a finance & administration assistant. The company works on architecture, interior design, landscape design and urban design. Reporting to the studio manager, the assistant will be responsible for finance and administration duties for the London and international offices.

Key responsibilities


  • Raise and issue invoices.
  • Credit control and debt recovery.
  • Assist in contract drafting, contract review and contract claim dispute resolution.
  • Updating excel spreadsheets, including projection and receipt forecast.
  • Internal financial reporting between London and Dubai Offices.
  • Updating internal online databases.
  • Coordination with Hong Kong and Dubai accounts.
  • Record of cross company expenses (Dubai / London).
  • Managing petty cash float, records and receipts, expenses.
  • Creating PR forms for invoices received.
  • Additional ad hoc duties.


  • Arranging both national and international travel for the wider team.
  • Covering for receptionist when on lunch or annual leave.
  • Answering phones, screening calls and handling enquiries.
  • Meet and greet guests.
  • Stationery ordering and monitoring.
  • Update e-office.
  • Helping to organise supplier presentations.
  • Arranging WebEx and conference calls.
  • Manage office systems alongside studio manager.
  • Implementation of best practice and company standards.

Skills and Experience

  • Proven experience in a similar role.
  • Bookkeeping or finance-related qualification a bonus.
  • Good excel skills essential.
  • Attention to detail.
  • Excellent time management and organisation skills.
  • Team player.
