This high-profile AJ100 architectural practice is based in buzzy east London; with an expanding portfolio of work across a range of sectors including offices, residential, retail, hotels, schools and master planning they are now seeking an HR assistant/coordinator to join their HR team.

Key Responsibilities

  • Be the first point of contact for all HR related queries.
  • Management of the applicant tracking system.
  • Liaison with hiring managers.
  • Liaison with agency contacts.
  • CVs screening and shortlisting.
  • Arranging interviews.
  • Maintaining project resourcing schedule.
  • Organising and overseeing the induction process, ensuring new employees are trained in the use of HRMS.
  • Conduct exit interviews under supervision of HRD.
  • Coordinating work experience diaries.
  • Coordinating career development process and open mic sessions.
  • Liaising with training providers to book learning events.
  • Record training attendance on HRMS (PeopleHR).
  • Prepare monthly payroll documents for processing (starters, leavers, change in working hours etc).
  • Employee paperwork, issue pay slips, P45, P60s.
  • Support the annual salary and bonus cycle by preparing confirmation letters.
  • Maintain HRMS (PeopleHR) with employee life cycle updates (starters/leavers/compensation changes etc).
  • Prepare contracts & offer letters.
  • Monitor overtime, holiday and sickness absence.
  • Coordinate end of probation period reviews & prepare associated correspondence.
  • Maintain personnel files.
  • Record ARB/RIBA renewals.
  • Update intranet with new HR info re starters/ leavers/HR employment resources.
  • Work with HRD to collect and maintain key HR metrics on a quarterly basis.
  • Archive in accordance with GDPR requirements.
  • Maintain the HR handbook.
  • Support the visa application process.

Skills & Experience

  • Highly organised, with the ability to multi-task and prioritise.
  • Excellent communications skills – both verbal and written.
  • Excellent attention to detail.
  • Confident & resilient.
  • Approachable manner.
  • Able to exercise good judgement.
  • Handle sensitive and confidential information. Good initiative and able to work under own direction.Knowledge of HRMS (PeopleHR) and using an applicant tracking system desirable.
  • Maintain HR and industry knowledge by attending HR events and legal seminars.
