Job Details

A progressive, research led London architecture practice is looking to hire a Practice Manager. The company are known for their strong ethical stance and employee focus.

The ideal person for this role will have previous experience as a Practice Manager, or be an Office Manager looking for their next step. Experience working within the architecture or related industries is essential. The role covers all operational functions and strong exposure to business finance is a must.

The role will oversee the administration team consisting of a Studio Manager, Studio Assistant and Marketing Coordinator.

Finance and resource management:

  • day to day management of finances; monitoring fees, forecasting, cashflow, reports,
  • management of Coordination team to ensure staff are resourced appropriately for projects based on skills, development and available budget, and that billing plans and resource plans are approved and up to date
  • management and regular reporting of studio expenditure budgets
  • assisting directors with fee preparation and resource projections for potential and speculative work
  • assisting finance with billing where necessary, preparing payroll

Human resources:

  • identify recruitment needs and coordinate employee lifecycle from hiring, induction, review, training and development, benefits and remuneration
  • liaise with external advisors to ensure compliance in all the above, including updates of policies and procedures and communicating to staff
  • budget management of the above
  • coordinate social and educational staff activities
  • support the directors with legal matters arising as required
  • work with Directors and drive Staff manual and social charter manual overhaul

Premises and systems management:

  • keep studio systems fit for purpose, user friendly and up to date - reviewing and improving where necessary and ensuring staff are utilising appropriately and effectively, including, but not limited to: non-CAD software; network filing; project directories; email management; contacts database; (physical) archive; templates; technical and sample libraries and membership of relevant professional bodies
  • coordinate and minute meetings and forums as required, and ensure actions are followed up
  • ensure high standard of front of house presence and systems are consistently in place
  • ensure that all necessary Health and Safety inspections are performed, and that the studio adheres to any statutory requirements
  • management of the QA system, including maintenance of QA manuals and policies, coordination of external and internal audits and renewal of certification
  • budget management of the above
