A wonderful opportunity for an energetic and ambitious individual with strong administration experience to join a vibrant team! The Studio Assistant will be the sole support-person in a fast-paced team of 8 Designers and will work closely with the Directors to deliver excellent multidisciplinary support at the very heart of the Practice.

Successful candidates will hold fantastic team playing skills whilst also being able to work well autonomously. Taking a lead in the day-to-day running of the studio, responsibilities will include:

  • Facilities – Liaising with the premise’s Landlord and Building Maintenance team and leading negotiations on insurance policies and renewals
  • Finance – Overseeing payroll, raising invoices, and collating relevant data for financial forecasting and reviews
  • PA support - Managing the diaries of two busy Directors, organising meetings, domestic and international business trips and making all necessary travel arrangements
  • HR – Maintaining immaculate personnel records and logging all holiday requests and absences. Being the first point-of-contact with Recruitment agencies, coordinating interviews and the onboarding/induction process. Preparing employment contracts and scheduling annual appraisals
  • Front of House – Welcoming visitors to the studio space, answering and redirecting incoming calls and monitoring the company inbox
  • Studio Coordination – Keeping track and reordering office supplies/consumables, negotiating contracts with suppliers, ensuring a perfectly tidy studio space, booking out meeting rooms and arranging refreshments and equipment are prepared accordingly
  • Event Coordination – Overseeing all internal and external events including social events, staff birthdays and planning CPD seminars
  • Marketing & New Business – creating new content for social media platforms, producing client presentations and supporting the compilation of competition submissions (using InDesign)

To be considered, you must have proven experience in a similar support position in a creative studio. Previous experience working within an architectural practice would be advantageous. Great Knowledge MS Word, Excel and Outlook and Photoshop, Illustrator, InDesign, Hootsuite, Mailchimp and WordPress is essential.
