A pioneering Interdisciplinary Design Consultancy is seeking a highly experienced and hard-working Executive Assistant to support their Managing Director. The successful candidate will occupy a critical role within the company’s function, enabling the Directors to deliver optimum growth strategy and client services. You will be an integral part in ensuring Senior Management can build on their already influential position in the European market.  

This role requires a hugely organised, proactive and unflappable individual capable of advanced time-management and consistent efficiency when working under pressure. Superb communication and interpersonal skills are essential, and you will liaise with various stakeholders simultaneously, balancing multiple projects and communication streams. The EA will be operating at all levels of the practice, regularly working with Directors, Associates and Department Heads in Marketing, HR, Recruitment, Legal and Finance.

Specifically, you will meticulously organise complex diary management across multiple time-zones for various Directors whilst also prioritising their workload and activities according to changing needs. Monitoring inboxes reviewing and responding to e-mails, reconciling expenses, setting agendas and taking meeting minutes will similarly be key responsibilities. It’s the EA’s primary function to anticipate, prepare and follow up on any information or materials required for meetings and presentations. This will involve using Adobe InDesign to create and modify tailored documents to a very high specification and requires strong ability in the software. Existing understanding of InDesign is hugely beneficial, but training will be provided to candidates with the aptitude to develop proficiency swiftly.

Importantly, the EA will additionally oversee Practice Coordinator activities for the wider office, including ensuring the work space is running is smoothly in full compliance with group policies (liaising with other Department Heads). Encompassing facilities, purchasing, invoicing, business development and bid submissions as well as resource planning, it is incumbent on the EA to self-initiate, coordinate with the wider team and complete tasks at all level across the team.
