Job Details

A professional with team and people coordination experience to coordinate, plan and manage meetings and provide administrative support. The key requirements include meeting support, communications management, and administrative support for partner activities.

Typical Accountabilities
Leadership Team Meetings:

  • Coordinate and manage meeting calendars
  • Capturing meeting notes and actions items to ensure follow-ups are on task
  • Liaising with partners and providing support where needed
  • Use discretion in handling sensitive and confidential information

Departmental Monthly Meetings:

  • Managing and scheduling meeting calendars
  • Capturing meeting notes and actions items to ensure follow-ups are on task.
  • Liaising with partners and providing support where needed

OSP Onboarding/Offboarding

  • Coordinating with IT & OSP
  • Creating AZ profile in UTMOST (PRID, AZ email, initial password)
  • Ordering equipment, requesting system access to AZ platforms etc
  • Following off-boarding protocols (Device return etc)

Administrative Tasks

  • Providing general admin support
  • Maintain Org chart
  • Follow-up on invoices from vendors on a timely basis and accurately, resolve any queries or clarifications that the vendor team has on revenues/financials, etc


  • Bachelor's or master's degree (life sciences background preferred).
  • Overall, 2-3 years of work experience, with 1-2 years of administrative support or coordination experience
  • Strong verbal and written communication and interpersonal skills
  • High level of professionalism
  • Attention to detail.
  • Proficient in office software and technology
  • Strong accountability, interpersonal and organisational skills, and the ability to work in a cross-functional team environment
